Step 1 of 5Quotes List & Follow-up

Open the Quotes list

Click Quotes in the sidebar. The list shows every open quote plus those approved in the last 30 days, newest first, with tabs for Draft, Sent, Viewed, Approved, Expired, and Follow up. (The chevron beside Quotes opens the specialty lists — Booklet, Wrap, Cut Vinyl, and Channel Letter quotes — whose drafts join this list once sent.)

What to do

Sort by any column, filter by stage or sales rep (it defaults to your own rep), or search. Click a row to open the ticket.

Why it matters

The board shows quotes as cards; this is the spreadsheet view — value, age, and stage in one glance.

Draft → Sent → Viewed → Approved

Each quote moves through four stages. Sent is stamped when you email it (or click Mark as sent… for a quote that went out by phone), Viewed when the customer opens the link or the portal, Approved when they accept. Quotes are valid for 30 days.

What to do

Open any quote's ticket. The status strip shows Created → Sent → Viewed → Approved with dates, plus Copy portal link and Mark as sent….

Why it matters

You know whether a silent customer has even looked at the quote — which changes what you say when you call.

The Follow up chip

After 30 days without a decision a quote gets an amber Follow up chip — on the board card, in the list, and on the ticket. After 60 days it's Stale and gains an Expire action.

What to do

Click the Follow up tab in the Quotes list. It's sorted by value, so the biggest open money is at the top.

Why it matters

Quotes don't get lost in a column of 80 cards. The ones worth a call surface themselves.
Step 4 of 5Quotes List & Follow-up

Send the nudge

From the Follow up tab, open the quote and resend it. That stamps a fresh Sent date and snoozes the chip for 7 days.

What to do

Open the ticket from the Follow up tab, click Email Quote, and send. If the customer says no, use Expire so the quote leaves the open list.

Why it matters

A snoozed chip means you never nag the same customer twice in a week — and expired quotes stop cluttering the board.
